## Chase missing client documents with AI checks, Google Sheets and Gmail ### Who it's for Accounting and bookkeeping firms that collect a set list of documents from every client. ### How it works 1. Clients email files or upload them to Google Drive. Files are matched to clients by sender email or a client code in the file name. 2. OpenAI reads PDFs and scans, classifies each document, extracts key fields and checks it against the client's Google Sheets checklist. 3. Rules mark the item received, wrong or unclear. Wrong or unclear files trigger a "please resend" email; unmatched files go to you. 4. Every weekday, clients get staged reminders listing only open items. After N reminders the client is marked at risk and you are alerted. 5. A weekly email summarises outstanding items and at-risk clients. Failed runs email you. ### How to set up 1. Create a Google Sheet with Clients, Checklist and Log tabs (columns in the grey note). 2. Fill in the three Settings nodes and connect Google Sheets, Gmail, Drive and OpenAI. 3. Set the upload folder and make this workflow its own Error workflow. 4. Test with test_mode on, then switch it off and activate. ### Requirements A Google account and an OpenAI API key (vision model, e.g. gpt-4.1-mini). ### Customise Edit reminder wording in Plan actions for each client, adjust confidence_threshold, or swap Gmail or OpenAI for other nodes.
