Send meeting confirmations and reminders from Google Calendar with HubSpot and Gmail

When something happens in a connected app, it manages calendar events using Gmail, Google Calendar, HubSpot.

What it does

## Meeting confirmations and reminders from Google Calendar (HubSpot + Gmail) ### How it works When a new event with an external guest appears in your Google Calendar (for example booked through Google Calendar appointment schedules, Calendly or any tool that writes to your calendar), the workflow reads the guest's name, the date and the video link. It creates or updates the guest as a contact in HubSpot and sends a confirmation email via Gmail. It then waits until 24 hours before the meeting, checks that the event still exists and was not cancelled, and sends a reminder with the join link. ### Setup steps - Add a Google Calendar credential in New calendar event and Check event is still confirmed. primary is your main calendar; replace it with another calendar ID if needed. - Add a HubSpot credential (private app token with contact read/write scope) in Create or update contact in HubSpot. - Add a Gmail credential in both email nodes and replace YOUR_COMPANY_NAME in the email texts. - Adjust REMINDER_HOURS_BEFORE, TIMEZONE and LOCALE in Extract booking details, then activate. ### Customization The video link is taken from Google Meet, conference add-ons (Zoom, Teams) or a URL in the event location. To use another video provider, add an HTTP Request node after Extract booking details that creates the room via its API and map the returned link to meetingLink. Swap Gmail for any other email node, or HubSpot for another CRM.
