Plan and approve standby staffing recovery with Gemini, Google Sheets, and Gmail

On a schedule, it handles email with Google Gemini using Gmail, Google Sheets.

What it does

# AI Staffing Recovery Planner Automatically detect next-day staffing shortages using Google Sheets, generate a recovery proposal with Gemini, and request manager approval by Gmail before inviting available standby staff. ### How it works 1. Runs daily at 6 PM and reads tomorrow's workload, scheduled staff, and standby availability. 2. Calculates hourly capacity gaps and asks Gemini to propose standby assignments. 3. Validates the proposal against the source data, then checks for an existing plan before saving a new one. 4. Emails the manager an Approve/Reject request and waits up to 24 hours. 5. Only after approval and a verified plan update, emails each selected standby staff member once. 6. Records Sent only after all invitation emails return successful Gmail responses. ### Setup steps 1. Connect Google Sheets, Gmail, and Google Gemini credentials. 2. Prepare a spreadsheet with four tabs: Workload, StaffSchedule, StandbyStaff, and StaffingPlans. 3. In Configure workflow settings, replace YOUR_SPREADSHEET_ID and YOUR_EMAIL@example.com. 4. Check the sheet names, capacity assumption, schedule, and workflow timezone. 5. Replace all sample standby emails with real addresses before activation. 6. Test the workflow with a date you control, then activate the schedule. ### Important Approval authorizes sending invitations; it does not confirm staff attendance. Do not manually rerun invitation nodes after a partial Gmail failure, as duplicate emails are possible. Google Sheets does not provide an atomic lock against simultaneous executions.
